How to Scan Documents on iPhone Using Notes or Files

You can scan documents on iPhone with the apps already included on your device. For a receipt, application form or a few pages of notes, start with Notes or Files before looking for a separate scanner app.

Scan a document in Notes

  1. Open Notes and create or choose a note.
  2. Tap the attachment button, then Scan Documents.
  3. Position the page inside the camera view. Auto mode captures it when detected.
  4. For manual capture, use the shutter or a volume button. Adjust the corners and choose Keep Scan.
  5. Continue with more pages, or tap Done.

Button labels can differ on older iOS versions. In iOS 26, the scanner also offers flash and filter controls.

Prefer to choose a folder? Use Files

In Files, open the More menu and select Scan Documents. Capture your pages, finish with Done, then choose a location and Save. This is a convenient route when you already organize paperwork into folders.

Add a signature when needed

Open the scanned document in Notes, choose Markup, then Add > Signature. Create or select a signature, position and resize it, then finish with Done.

Make the scan easier to read

Before starting, flatten the paper and place it on a contrasting surface. Move a desk lamp if it creates glare, and keep your hand from casting a shadow across the text. A few seconds spent arranging the page can save several attempts later.

After scanning, zoom in on small print rather than judging only the thumbnail. Check page corners, faint pencil marks, dates and totals. If anything important is cut off or blurred, rescan that page before putting the original away.

A checklist before sending

  • Count the pages and check their order.
  • Use a descriptive name, such as a project name and date.
  • Open the saved document to confirm it is readable.
  • Check that unrelated paperwork is not visible around the edges.
  • Keep the original if the recipient might require it.

For a recurring task, such as saving monthly receipts, use one consistent folder and naming pattern. That small habit is often more useful than adding another scanning app.
